JOB LISTING: Seeking an Experienced Temp to Hire F/T Union Benefits Document Control Clerk to Work in Chicago (Near China Town)

Our client, a busy and growing Non-For-Profit Health & Welfare Fund Union located in Chicago near China Town, has an immediate staffing need for an experienced Union Benefits Document Control Clerk. This is a temp-to-hire position.


Position Summary:

The Document Control Assistant is responsible at an organizational level for a full range of document management categorizing, filing, and retrieving documents using specific classification and organization systems. This highly visible individual role is the accountable for working interdepartmentally in effort to oversee all inbound and outbound communication produced by systems/databases, technical teams, projects, or departments, and reports directly to the Controller.  The Document Control Assistant also supports the HR department in maintaining the document retention policy across departments. This position will take the lead role in the Fund’s Go Green/Go Paperless initiative by being heavily involved in the implementation of the Fund’s first electronic document management system.

Primary Duties:

  • Responsible for managing documents while also ensuring their accuracy, quality, and integrity
  • Store, manage and track company documents (incoming and outbound document records)
  • Scan, image, organize and maintain documents, adhering to the organization’s document lifecycle procedures, and archive inactive records in accordance with the document retention policy
  • Develop and maintain the Document Management System
  • Develop and manage the company’s document exchange process with the outsourcing print vendor
  • Manage all workflows of documents either in electronic form or on paper
  • Create technical manuals, flow charts and project plan to assist with training staff on the utilization of the document control system
  • Ensure control and coordination of projects documentation and data



  • 2-3 years’ experience in employer benefit administration
    • Knowledge of Document Management systems and document capture/image capture systems
  • Experience using a document exchange system, including managing, and releasing batches to a third-party vendor for mailing, resolving exceptions
  • Ability to cross-reference database reports to confirm accuracy of inbound/outbound documents
    • Knowledge and understanding of the health care industry; Taft-Hartley experience is a plus
    • Excellent interpersonal skills at all levels of business & polished verbal & written com. skills
    • Ability and willingness to assist in special projects and handle multiple tasks
    • Must have the ability to work independently and within a team environment
    • Must be well organized and detail oriented with demonstrated effective time-management
    • Must have excellent decision-making & problem-solving skills & ability to meet deadlines
  • Proficient in Microsoft Office



  • Associate degree or higher in Computer Science, Business Administration, or similar field
  • Advanced computer and data entry skills
  • Excellent people skills and customer service orientation
